Privacy Policy
Your privacy matters to us. This policy explains what personal information KIVOZA collects, how we use and protect it, when limited details are shared to connect Customers and Vendors, and the choices and rights you have.
Effective Date: July 1, 2026 · Replaces all prior versions.
This Privacy Policy (the "Policy") explains how KIVOZA, A service operated by Neel Networks ("KIVOZA", "we", "us", or "our") collects, uses, shares, and protects personal information when you use the KIVOZA website, applications, and services (the "Platform"). It forms part of, and should be read together with, our Terms of Service.
KIVOZA is a platform that connects Customers (mainly in the United States) with Vendors (in India). A core part of how the Platform works is that limited contact details are shared between a Customer and a Vendor when they connect, so they can communicate directly. This Policy explains that and more.
Overview & Scope
This Policy applies to personal information we process about visitors, Customers, and Vendors through the Platform, including www.kivoza.com, vendor.kivoza.com, and our applications.
It does not cover how a Vendor or Customer handles personal information after they connect and deal with each other directly — once you connect with another user, your dealings with them are governed by their own practices, not this Policy. It also does not cover third-party websites or services we link to.
Who We Are
KIVOZA is the controller responsible for the personal information processed through the Platform, except where we act as a processor on behalf of a business user. Our contact details are in Section 14.
Company: KIVOZA, A service operated by Neel Networks. Privacy contact: [email protected]. [Add registered address and, if applicable, any EU/UK representative once determined.]
Information We Collect
We collect information you provide, information created through your use of the Platform, and information from certain third parties.
3.1 Information You Provide
| Category | Examples |
|---|---|
| Account & identity | Name, email address, phone number, password, business name, and role (Customer or Vendor). |
| Requirement details (Customers) | The project details, categories, industry, budget range, and any notes you submit when posting a requirement. |
| Vendor profile (Vendors) | Services, categories, portfolio, business details, and information submitted for verification. |
| Verification information (Vendors) | Business registration numbers you enter — such as GSTIN, PAN, Udyam (MSME), or CIN — used to confirm you are a real, registered business. See Section 3.2. |
| Payments (Vendors) | Information needed to process any payments. Card details are handled by our payment processor, not stored by us. |
| Communications | Messages you send through the Platform, and your contact with our support team. |
3.2 Vendor Verification Information
Vendors must be confirmed as real, registered businesses before appearing to Customers. To do this, you enter a registration number and we verify it electronically against official government records through a verification provider. You do not upload certificates, ID cards, or document images.
| What we collect | Detail |
|---|---|
| Numbers you enter | Your GSTIN; or your PAN and/or Udyam (MSME) registration number where you are not GST-registered; and CIN for registered companies, where applicable. |
| Verification result | The registered legal name, trade name, business type or constitution, registration status (for example, active or cancelled), registered state or address, and the date verification was carried out. |
3.3 Information Collected Automatically
- Usage data — pages viewed, actions taken, and how you interact with the Platform;
- Device & log data — IP address, browser type, device identifiers, and timestamps;
- Cookies & similar technologies — as described in our Cookie Policy.
3.4 Information from Third Parties
We may receive information from verification providers, payment processors, analytics providers, and — where you choose to sign in or connect via a third party — from that service, in each case to operate and protect the Platform.
How We Use Your Information
We use personal information to:
- create and manage your account and provide the Platform;
- match Customers with relevant Vendors and enable connections between them;
- facilitate the sharing of limited contact details when a Customer and Vendor connect (see Section 5);
- process any payments;
- confirm that Vendors are real, registered businesses, and maintain trust and safety on the Platform;
- issue invoices and meet tax and accounting obligations where fees apply (a valid GSTIN is required on business invoices issued to GST-registered Vendors);
- communicate with you about your account, leads, updates, and support;
- detect, prevent, and address fraud, abuse, security issues, and violations of our Terms and Acceptable Use Policy;
- analyse and improve the Platform, and develop new features;
- send you marketing about KIVOZA where permitted, which you can opt out of at any time;
- comply with legal obligations and enforce our agreements.
Sharing Between Customers & Vendors
This is central to how KIVOZA works, so we call it out separately.
- When a Customer and Vendor connect, limited contact details are shared between them so they can communicate directly — for example, name and contact information relevant to the enquiry.
- On self-serve ("Quick Connect"), details are shared at the point the Customer actively connects with a Vendor, and only with that Vendor.
- On concierge ("Detailed Brief"), our team uses the Customer's information to prepare a brief and share it with a small, curated set of Vendors.
- Vendor profile information (such as services, portfolio, and verified status) is visible to Customers to help them choose.
Other Ways We Share Information
We share personal information with:
- Service providers (processors) who help us run the Platform — for example, hosting, payment processing, verification, communications, and analytics providers — under contracts that require them to protect it and use it only for us;
- Verification providers — when you enter a business registration number, we share that number with a third-party verification service so it can be checked against official government records (for example, GST, MCA, or Udyam databases). They act only on our instructions under contract, may not use it for their own purposes, and receive no Aadhaar and no identity-document images from us. [Name the verification provider before publishing.]
- Professional advisers such as lawyers and auditors, where necessary;
- Authorities or others where required by law, to comply with legal process, or to protect the rights, safety, and security of KIVOZA, our users, or the public;
- In a business transfer — if KIVOZA is involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction.
We do not sell your personal information for money. Where certain sharing (for example, some analytics or advertising cookies) may be considered a "sale" or "sharing" under US state privacy laws, we describe your choices in Section 10 and our Cookie Policy. [Confirm the list of sub-processors/tools actually used before publishing.]
Cookies & Similar Technologies
We and our providers use cookies and similar technologies to operate the Platform, remember your preferences, measure performance, and improve your experience. You can control these through our consent tools and your browser settings.
For full detail on the cookies we use and how to manage them, see our Cookie Policy.
International Data Transfers
KIVOZA serves US Customers and Vendors in India, so personal information may be transferred to, stored in, and processed in the United States and other countries whose data-protection laws may differ from those where you live.
Where we transfer personal information across borders, we take steps to ensure it remains protected — for example, by using appropriate safeguards such as standard contractual clauses where required. [Confirm transfer mechanisms with counsel.]
How Long We Keep Information
We keep personal information for as long as needed to provide the Platform, comply with our legal obligations, resolve disputes, prevent fraud, and enforce our agreements. Retention periods depend on the type of information and why we hold it.
Vendor verification data. We retain the verification result described in Section 3.2 — the registration number, verified name, status, and verification date — for as long as your Vendor account is active, and afterwards for the period required for tax, accounting, and audit purposes, or to resolve disputes and prevent fraud. Where a registration number appears on an invoice we have issued, it is retained as part of that statutory financial record. We do not retain identity-document images or Aadhaar at any point.
When we no longer need personal information, we delete or anonymise it. [Insert specific retention periods per data category before publishing — e.g. account data retained while active plus a defined period after closure. [FOR ATTORNEY REVIEW] confirm the statutory retention period for tax records under Indian law.]
Your Privacy Rights & Choices
Depending on where you live, you may have rights over your personal information. We honour applicable rights for all users where we can.
10.1 US State Privacy Rights (e.g. California)
If you are a resident of California or another US state with privacy laws, you may have the right to:
- know / access the personal information we hold about you;
- correct inaccurate personal information;
- delete personal information, subject to exceptions;
- opt out of any "sale" or "sharing" of personal information and of certain targeted advertising;
- not receive discriminatory treatment for exercising your rights.
10.2 How to Exercise Your Rights
Contact us at [email protected] to make a request. We will verify your request and respond within the timeframe required by law. You can also update much of your information directly in your account settings, and opt out of marketing using the unsubscribe link in our emails.
How We Protect Your Information
We use reasonable technical and organizational measures designed to protect personal information against unauthorized access, loss, misuse, and alteration. Payment card details are handled by our payment processor using industry-standard security. Vendor verification data (see Section 3.2) is stored encrypted and access is restricted to personnel who need it to operate verification, billing, or trust and safety.
Children's Privacy
The Platform is intended for adults and is not directed to children. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us with personal information, please contact us and we will take appropriate steps to delete it.
Changes to This Policy
We may update this Policy from time to time. The current version is always available on the Platform, with the "Last Updated" date shown above. For material changes, we will take reasonable steps to notify you. Your continued use of the Platform after changes take effect constitutes acceptance of the updated Policy.
